Why You Should Switch to PDF Invoices

Creating and sending invoices can be time-consuming, especially if done on paper. So what’s the solution? PDF. PDF. PDF. You can create a customizable template from scratch and add the relevant data to cater to your specific needs, or you can use an existing template and convert it to PDF.

Whether it be to bill a client or to approve and process an invoice you’ve received, the PDF format is your best bet.

Creating Templates

  • You can build your invoice template directly within your PDF application. Most reliable software have built-in features that allow you to create invoices and add data fields, radio buttons, and dropdown menus.

  • If you’re more comfortable creating a template in MS Excel, that works too. Once you create your invoice in Excel, all you need to do is convert it to PDF and save the file. You’ll also need a PDF editor to customize the invoice and add/remove data.

  • If you have a paper copy of an invoice and you want to digitize it, you can always use OCR technology to convert it to a digital and editable file. If you’re not sure what OCR is, you can check out this helpful article.

Approving Invoices

If you’re in a position that requires you to approve and process invoices, the safest way to go about it is using PDF. Most reputable PDF software have stamps and digital certificates available that allow you to authenticate your approved invoices. That way, no one can make modifications without leaving a digital trace.

If the invoice is confidential, you can even add a password to the PDF file to protect it from unwanted eyes. Soda PDF offers an array of state-of-the-art security options you can choose from, including 256-bit AES encryption level passwords and customizable permissions that give you the power to control how others use your PDF invoice.
